MDG ADMINISTRATIVE OFFICER

CIVICUS: World Alliance for Citizen Participation is an international
alliance dedicated to strengthening citizen action and civil society
throughout the world, especially in areas where participatory
democracy and citizens' freedom of association are threatened.
Established in 1993 and originally based in Washington, DC, CIVICUS is
now based in Johannesburg, South Africa.

CIVICUS is recruiting an MDG Administrative Officer who will report
directly to the MDG Campaign Manager, and liaising closely with other
Campaign staff. The MDG Administrative Officer is responsible for
providing high-quality overall administrative and logistical support
to the work of the MDG Department.

Duration of contract: Four months with the possibility of extension.

Primary Responsibilities and Tasks:

· Provide overall administrative, logistical and budget
support to the MDG Campaign Manager and other members of the MDG
Campaign team;

· Arrange the conference calls of the GCAP International
Facilitation Team (IFT). (Assist in developing the agenda for IFT
meetings and take minutes of the IFT meetings and effect timely
distribution following the meeting. Assist in implementation of
decisions taken by the IFT);

· Manage and maintain the list-servs for the IFT and the
Global Action Forum;

· Liaise with MDG Campaign Manager, the Secretary General's
(SG's) Executive Assistant, other CIVICUS staff and, where possible,
other GCAP supporters, in order to maximize opportunities for the SG,
CIVICUS staff and others to advance GCAP / MDG Campaign goals and
objectives while travelling or through other ongoing external contact;

· Database: oversee and maintain all GCAP archives and
relevant documentation. Support the development and standardization of
the database. Managing of several email accounts related to the White
Band website. Ensure that all documentation is correctly filed and
accessible;

· Carry out logistical arrangements for travel, correspondence
with various hosts and conference co-ordinators for the MDG team;

· Distribute GCAP / MDG Campaign information to other CIVICUS
departments as appropriate;

· Support GCAP Networking Opportunities: Provide information
and help when asked specifically at all levels, nationally, regionally
and globally;

· Personal assistance and support to the MDG Campaign Manager;

· Other duties as assigned.

Experience, Skills and Competencies

Required:

· Working knowledge of administration systems and procedures
with at least 3 years experience;

· Excellent planning, organizational and inter-personal
skills, as well as attention to detail even under significant
time-pressure;

· Highly proficient in English verbal and writing skills;

· A flexible team-player;

· Able to work in a multi-cultural environment;

· Familiar with MS Office applications, email and the internet;

· Proficiency in additional languages, especially French,
Spanish or Arabic;

· Efficiency and ability to meet tight deadlines and objectives;

· Commitment to the mission of CIVICUS and prepared to work
after-hours.

Desirable:

· Experience in, or knowledge of, the non-profit / volunteer
sector and / or civil society movements;

· Background in outreach, mobilization, and/ or campaigning.
