TERMS OF REFERENCE –ADMINISTRATIVE ASSISTANT
PROJECT TITLE:
Establishment of a Gender Advisory Board Regional Secretariat for Africa, hosted by
Association of Women Engineers, Technicians and Scientists in Uganda (WETSU)
PROJECT BRIEF:
The Association of Women Engineers, Technicians and Scientists in Uganda (WETSU) is hosting the Gender Advisory Board (GAB) Africa Region Secretariat. The purpose of the Secretariat is to enable the GAB fulfil its mandate in liasing with regional policy makers, researchers, NGOs, UN agencies and all stake holders; and support national governments in implementing the United Nations Commission on Science and Technology for Development (UNCSTD) gender recommendations.
The ultimate goal of this project is to improve the quality of life of women and men, girls and boys in the Africa region through promotion of women’s participation in Gender, Science and Technology (G, S & T) for sustainable development.
The project will increase collaborative regional activity in developing strategies to implement these recommendations by creating national Ad hoc committees that will review national priority areas of concern in Gender, Science and Technology and formulate national action plans. It will build capacity in the understanding, application and use of Information and Communication Technologies by women in the region and a regional web site and database will be created to facilitate further collaboration, information sharing and dissemination.
Job Title: Administrative Assistant:
1. Maintain proper and requisite records of all documents at the Secretariat as requested by Management;
2. Organise, update and improve WETSU Resource Centre, registering all books and any other documentation;
3. Administrative roles that comprise but not limited to the following tasks:
i. Procuring and ensuring adequate stock of office supplies,
ii. Ensuring that office equipment and appliances are regularly serviced and are in proper working condition,
iii. Ensuring a clean working environment,
iv. Arrange for all needs of the office,
v. Registering incoming/outgoing mail, filing of documents and correspondences.
vi. Delivering any outgoing mail,
vii. Take minutes, transcribe, type, photocopy and carry out similar basic office routines.
4. In consultation with the Project Manager:
i. Develop work plan for WETSU activities based on the Strategic Plan
ii. Oversee the implementation of WETSU activities
iii. Register and keep record of WETSU membership.
5. In consultation with the Secretary General, arrange for Executive Committee and other WETSU meetings;
6. Carry out research activities under the guidance of the Project Manager;
7. Carry out any other duties assigned by Management from time to time.
Minimum Qualifications
First Degree or Advanced Diploma in Business Administration and Management.
At least two years of relevant experience in administrative work, good communication skills (oral and written) and computing skills and other packages.
Knowledgeable of program planning and monitoring is an added advantage
